Memberhub ("we", "us", "our") operates the websites memberhub.live and app.memberhub.live. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

By using Memberhub, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Account Information

When you create an account, we collect your name and email address through our authentication provider, Auth0. You may also provide a profile photo and display name.

Organization Data

If you create or join an organization, we store the organization name, member lists, roles, and data you enter into Memberhub tools (events, classes, reservations, database records, files, pages, etc.).

Payment Information

Payments are processed by Stripe. We do not store your credit card number, expiration date, or CVC on our servers. Stripe handles all payment data in accordance with PCI-DSS standards. We receive and store only your Stripe customer ID and subscription status.

Usage Data

We collect basic usage data such as pages visited, features used, and timestamps. This data is used solely to improve the service and is not shared with third parties for advertising purposes.

Cookies

We use cookies and local storage for authentication tokens and to remember your preferences such as theme (dark/light mode) and language selection. See Section 6 for details.

3. How We Use Your Information

• Provide, operate, and maintain the Memberhub service
• Process transactions and manage subscriptions via Stripe
• Send transactional emails (account verification, password resets, billing receipts) via SendGrid
• Improve, personalize, and expand the service
• Respond to support requests and communicate with you
• Detect and prevent fraud or technical issues

4. Data Storage & Security

Your data is stored on secure servers. We use industry-standard security measures to protect your personal information, including encrypted connections (HTTPS/TLS) and access controls.

• Files you upload are stored on Wasabi S3-compatible cloud storage with server-side encryption.
• Email campaigns are sent through SendGrid's secure infrastructure.
• Authentication is managed by Auth0 with industry-standard security practices.

While we strive to use commercially acceptable means to protect your data, no method of transmission over the internet or electronic storage is 100% secure.

5. Third-Party Services

We use the following third-party services to operate Memberhub. Each has its own privacy policy governing the use of your information:

• Auth0 — Authentication and identity management
• Stripe — Payment processing and subscription billing
• SendGrid — Transactional and campaign email delivery
• Wasabi — Cloud file storage
• Mosquitto (MQTT) — Real-time notifications within the application

6. Cookies

Essential Cookies

We use only essential cookies and local storage entries required for the service to function:

• Authentication tokens — To keep you signed in securely
• mh_theme — To remember your preferred theme (dark or light mode)
• mh_lang — To remember your preferred language (English or Japanese)
• Sidebar state — To remember whether the navigation sidebar is expanded or collapsed

No Tracking Cookies

We do not use advertising cookies, analytics tracking cookies, or any third-party tracking technologies. We do not participate in ad networks or sell your data to advertisers.

7. Data Retention

We retain your personal information and organization data for as long as your account is active or as needed to provide you with our services. If you delete your account, we will delete your personal data within 30 days, except where we are required by law to retain it.

8. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format

9. Children's Privacy

Memberhub is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly.
